TERMS AND CONDITIONS

1. Bookings

Bookings are confirmed only when full payment has been made, and all required forms, including waivers, have been signed and returned. The person making the booking is the “lead name” and, where booking for others, confirms they have the authority to accept these Terms and Conditions on behalf of their group.

For corporate events and private guiding days, a 25% non-refundable deposit is required to secure the booking. The remaining balance must be paid no later than 48 hours before the event. Failure to pay the balance within this timeframe may result in cancellation without refund.


2. Cancellations, Transfers & Minimum Participants

Cancellations by the Client

  • More than 7 days before the event: Eligible to transfer the booking to an alternative date or receive a credit note equal to the original booking value.

  • Within 7 days of the event: No alternative date or credit note will be offered.

Cancellations by Her Wild Adventures

  • Due to Weather/Unforeseen Circumstances: If an event is canceled due to extreme weather, health advisories, or other uncontrollable factors, clients will be offered:

    • Transfer to another date (within 12 months of the original date).

    • An alternative event of equal value.

  • Due to Reasons Not Related to Weather: If an event is canceled for other reasons, clients will be offered:

    • Transfer to another date (within 6 months of the original date).

    • An alternative event of equal value.

    • A voucher for future use or a full refund.

Minimum Participants

  • Group hikes require a minimum of 3 participants to proceed. If minimum numbers are not met, clients will be notified at least 7 days in advance and offered an alternative date or a full refund.

  • No minimum number is required for private guided itineraries.


3. Risk and Liability

Her Wild Adventures takes all reasonable measures to ensure client safety. However, outdoor activities involve inherent risks, including but not limited to slips, trips, falls, and adverse weather conditions.

By participating, clients:

  • Acknowledge and accept these risks.

  • Are responsible for ensuring they are physically and medically fit for the activity.

  • Must disclose any medical conditions in advance that may affect participation.

  • Understand that failure to disclose relevant medical information may result in removal from the event without refund.

Client Responsibility:

  • Clients must follow the guide’s instructions at all times.

  • The guide reserves the right to remove anyone behaving in a way that endangers themselves, others, or the group’s safety.

  • If a participant chooses to leave the group during the hike, the guide ceases to be responsible for their safety.


4. Terrain

Hikes may involve a variety of terrain, including muddy, rocky, wet ground, remote open countryside, steep ascents/descents, and crossing streams or stiles. Adverse weather, poor visibility, and other natural elements may be encountered. Clients should be prepared for challenging and changing conditions.


5. Route Changes & Termination

Pre-planned routes may change due to:

  • Adverse weather conditions.

  • Group pace and fitness levels.

  • Safety concerns, accidents, or unforeseen circumstances.

The guide’s decision to alter or terminate a hike is final. Any such changes are considered part of the event.


6. Parental Responsibility

Children under 18 years old are only accepted by prior agreement and must be accompanied by a parent or legal guardian who takes full responsibility for their safety and actions throughout the event. Parents/guardians confirm that their child is fit and capable of participating.


7. Photos & Media Consent

Photos and videos may be taken during events and shared with participants afterward. These images may also be used for marketing purposes on the website and social media. If you do not consent to this, please notify the guide at the start of the event.

For participants under 18 years old, parental/guardian consent will be obtained before any photos or videos are taken or used.


8. Intellectual Property

All content, trademarks, logos, and materials on the Her Wild Adventures website and promotional materials remain the property of Her Wild Adventures. Reproduction, distribution, or modification without prior consent is prohibited.


9. Dogs

Dogs may only join day hikes with prior approval. They must:

  • Be well-behaved and accustomed to being around other dogs and people.

  • Be kept on a lead near livestock, roads, and dangerous areas.

  • Failure to comply may result in exclusion from the event without refund.


10. Discounts

20% discount is offered to past or current members of the armed forces. Proof of service must be provided at the time of booking.


11. Medical Conditions

Clients must disclose any medical conditions or health concerns that may affect participation before booking. This includes but is not limited to asthma, diabetes, heart conditions, and allergies.

Important:

  • Clients may be asked not to participate if a condition poses a safety risk to themselves or others.

  • No refund or credit will be provided if a client is unable to participate due to undisclosed medical conditions.


12. Transport

Transport to and from the event is not included. Clients are responsible for arranging their own transport and ensuring they arrive on time. Her Wild Adventures is not liable for third-party transport alterations or cancellations.


13. Equipment & Clothing

Clients must wear appropriate footwear, clothing, and bring any necessary equipment for the conditions. A recommended kit list will be provided. Failure to bring suitable equipment may result in exclusion from the event without refund.


14. Fitness & Preparation

Participants are responsible for ensuring they are adequately prepared for the hike, including understanding the difficulty level and any physical demands. If the guide determines that a participant is unfit to continue safely, they may be asked to withdraw from the event.


15. Code of Conduct

Participants must behave in a manner that respects the environment, fellow participants, and the guide. Disruptive, aggressive, or dangerous behavior will not be tolerated, and offending participants may be removed from the event without refund.


16. Complaints

If you have any complaints about your experience, please notify the guide immediately during the event. Alternatively, submit complaints in writing within 7 days of the event.


17. Amendments

Her Wild Adventures reserves the right to amend these Terms and Conditions at any time without prior notice. Updates will be posted on the website, and continued participation constitutes acceptance of any changes.


18. Acknowledgement of Terms

By booking an event, clients acknowledge that they have read, understood, and agreed to these Terms and Conditions.
